TRAVEL AND ACCOMMODATION POLICY – DOCTORAL CONSORTIA & WORKSHOPS
1. All travel costs to and from the event will be reimbursed by GRAND under our standard policies.
a) These will include return economy airfare from your home city, plus reasonable costs to and from the airport at each end. Submit the completed and signed Travel Claim form, along with original receipts and boarding passes to GRAND Central for reimbursement.
b) Travel by private vehicle. Reimbursements are calculated by applying the mileage (kilometer) rate as per UBC travel policy to the actual driving distance by the most direct route, not to exceed 250 km (each way) without prior approval. The amount claimed should not exceed full economy airfare.
2. Accommodation will usually be organized by the GRAND Central, and may be based on double occupancy. A rooming list (if applicable) will be forwarded to you. Please note that GRAND will cover an extra day of accommodations when event start or end times make same-day travel impractical.
3. Other onsite costs, including meals not provided by the workshop, are the responsibility of the participant.
For events hosted outside of Canada, participants are responsible for ensuring that they have valid travel documents (i.e. passport, visa) to enter and stay in the host country for the duration of the event.
